In short

  • We only collect what we need to quote and do the work.
  • No tracking cookies and no ads.
  • We never sell your data.
  • You can ask for a copy of your data, or ask us to delete it, at any time.

Who we are

NCL PREP SERVICES LTD is responsible for your data (the "data controller").

Company:
NCL PREP SERVICES LTD
Registered in:
England and Wales
Company number:
16491741
Registered office:
Newcastle upon Tyne, UK

What we collect

  • Quote form details. Your name or business name, email, phone or WhatsApp number, and what you tell us about your products.
  • WhatsApp and email messages. The messages, photos and files you send us.
  • Invoice details. The details we need to invoice you, and a record of what you paid.
  • Your shared Google Sheet. The units we received for you and what the prep cost.

Why we use it and our legal basis

UK data protection law asks us to give a legal reason for each use.

  • To give you a quote. You asked us for a price, so we use your details to work it out and reply. Legal basis: steps before a contract.
  • To do the work. We need your details to prep, store and ship your stock, and to invoice you. Legal basis: contract.
  • To keep invoices. HMRC requires us to keep business records. Legal basis: legal obligation.
  • To reply to messages. If you write to us, we use your message to answer you. Legal basis: legitimate interests.

Your buyers' order data

When we ship your Amazon FBM, eBay, TikTok Shop, Shopify or website orders, we see your buyers' names and addresses.

  • You control this data. We handle it only for you.
  • We use buyer names and addresses only to pack and ship their orders.
  • We never contact your buyers.
  • We never use their data for anything else.
  • We delete buyer names and addresses 3 months after dispatch.
  • We keep order numbers, dates, tracking numbers and costs for billing, for 6 years.

Store access

You may give us staff access to your store so we can ship your orders.

  • We use it only to read orders and to buy shipping labels in your own account.
  • You can remove our access at any time.

Who else handles data

We use a small number of other companies to run the business.

  • Web3Forms: sends the quote form to our email.
  • Cloudflare (Cloudflare Pages): hosts this website.
  • Cloudflare Web Analytics: counts visits to this website without cookies and without building a profile of you.
  • Hostinger: hosts our business email and holds the emails you send us.
  • Google (Sheets): holds the shared sheets.
  • WhatsApp (Meta): carries our WhatsApp messages.
  • Couriers: deliver parcels using the labels you provide.
  • Our accountant: sees invoices and payment records.
  • HMRC: when the law requires it.

Some of them may process data outside the UK, under UK data protection safeguards.

How long we keep it

  • Quote requests that do not become clients: 12 months.
  • Client invoices and records: 6 years (HMRC rules).
  • Buyer names and addresses: 3 months after dispatch.
  • Order numbers, dates, tracking numbers and costs: 6 years, for billing.
  • Photos of damaged items: until the issue is closed, then deleted within 3 months.

Cookies

This website uses no tracking or advertising cookies. That is why you see no cookie banner. We count visits with Cloudflare Web Analytics, which sets no cookies and does not build a profile of you.

Your rights

You can ask us to do any of these:

  • Copy: get a copy of your data.
  • Correct: fix data that is wrong.
  • Delete: delete your data.
  • Object: stop using your data.
  • Limit use: pause using your data.
  • Move your data: send it to you in a form you can reuse.

To ask, email [email protected]. We reply within 14 days. We may have to keep some records, such as invoices, where the law requires it.

If you are not happy with how we handle your data, you can complain to the Information Commissioner's Office (ICO): ico.org.uk, 0303 123 1113.
